How to Send a Chemical Enquiry That Gets a Fast, Accurate Quote

Seven details that save two days of back-and-forth

Industrial chemical drums ready for dispatch

Most delays in chemical buying do not come from stock or transport. They come from the first message. “Need Caustic Soda, send rate” starts a conversation; it does not start a quote. Before anyone can answer properly, they have to ask which form, which purity, how much, packed how and delivered where.

When those answers arrive together, our desk can usually confirm availability, documents and dispatch in one reply. Here is the checklist we suggest.

1. The exact product, and a CAS number if you have it

Many chemicals are sold under several names. A CAS number removes the guesswork. If you are replacing a material you already use, the supplier's name and grade from your current label or COA is even better.

2. Grade and specification

Technical, industrial, food, pharma (IP/BP/USP) and laboratory grades are different products with different documents. Tell us the grade, plus any parameter that matters to your process: assay, moisture, particle size, colour, iron content or viscosity.

If your QC team has a specification sheet, attach it. Matching a spec is faster than guessing one.

3. Quantity, and whether it repeats

A 50 kg trial, a one-time 5 MT order and a 10 MT monthly requirement are sourced differently. Share the first order quantity and, if you know it, the expected monthly or yearly volume.

4. Packaging

Bags, drums, carboys, IBCs or bulk tankers: say what your plant can receive and store. If you need a specific pack size, pallet or labelling, mention it up front.

5. Delivery location and timeline

  • Delivery city and pin code (or port and Incoterm for export orders)
  • The date you need material on site
  • Any unloading constraints, such as no forklift or restricted entry hours

6. Documents you need

A manufacturer's COA and SDS come with every batch we supply. If you also need a TDS, a specific regulatory declaration or a pre-shipment sample, ask in the first message so it is planned in.

7. Who to reply to

Name, company, phone and e-mail. One contact who can answer technical questions speeds everything up.
